Rounds Golf (“Rounds”, “we”, “our”, or “us”) is operated by Nexera Labs Inc. This Privacy Policy explains how we collect, use, and protect your information when you use our mobile application, website, and related services. This includes Loop, the AI-powered golf assistant inside Rounds Golf.

Information We Collect

a. Account Information

When you create an account, we may collect:

Display name

Username

Email address

Profile photo

Bio

Golf preferences

Handicap or golf-related profile information

Account authentication information provided through supported sign-in methods, such as Apple, Google, or email login

b. Location Data

We may collect location data to:

Show nearby golf courses and rounds

Help users find tee times and golf activity near their selected play area

Enable GPS-based features during active rounds

Show live golf yardages

Support wearable features such as Apple Watch golf GPS yardages

Location access is optional and can be disabled in your device settings.

Rounds may use precise location during active app use or active round features when you grant permission. We do not collect precise location data in the background without user awareness.

c. HealthKit and Apple Watch Data

Rounds may use HealthKit and Apple Watch functionality to support active golf round sessions, live GPS yardages, scorekeeping, and wearable round features.

Rounds does not use HealthKit to collect unrelated health or fitness data. HealthKit-related access is used only to support golf round functionality on Apple Watch, such as maintaining an active golf round session during play.

HealthKit data is not sold, used for advertising, or shared with third parties for marketing purposes.

d. User Content

We collect content you provide, including:

Messages in direct and group chats

Scores, stats, and round data

Tee time and round information

Profile content

Photos or media you upload

Ratings, validations, achievements, and app activity

e. Purchase and Subscription Information

Rounds may offer subscriptions, in-app purchases, premium features, promotional offers, or paid memberships.

Purchases are processed by the applicable platform provider, such as Apple App Store or Google Play. Rounds does not collect or store your full payment card details.

We may receive and store limited purchase-related information needed to manage access to paid features, such as:

Subscription status

Purchase status

Product or plan identifier

Entitlement status

Renewal or expiration status

Platform purchase identifiers

Refund, cancellation, or billing status where provided by the platform or purchase service

Rounds may use third-party purchase infrastructure, such as RevenueCat, to help validate purchases, manage subscription entitlements, and keep paid feature access in sync across devices.

f. Device and Usage Data

We may collect:

Device type

Operating system

App version

Crash logs

Diagnostics

Performance data

Feature usage and interactions

Approximate region or language settings

This information helps us improve reliability, troubleshoot issues, prevent abuse, and improve the app experience.

g. Loop Requests and Matching Information

When you use Loop, we process the requests you type, recent messages needed to understand follow-up requests, search criteria, selected area, dates, times, time zone, and currency. Search criteria may include travel distance, budget, handicap, playing style, and other golf preferences.

We also process your matching-profile answers, saved preferences, availability, and relevant Rounds activity to find and rank golfers, rounds, and courses. Depending on the features and settings you use, this includes search and selection activity, accepted invitations, completed rounds, and interactions with course websites or booking links.

Loop uses account-linked or pseudonymous records to manage search allowances, subscriptions, reliability, costs, abuse prevention, and service performance. A hashed account identifier is still treated as personal information where it can be linked to your account.

Loop and AI Service Providers

We use OpenAI’s API to interpret Loop requests and help research public course information. For request interpretation, we send your message, a limited set of recent Loop messages, and relevant search context, such as your selected area, dates, time zone, currency, and filters.

The request interpreter does not automatically attach your account ID, email address, saved biography, or device GPS coordinates. However, anything you type into a message, including personal information or a location, can be sent to the AI provider. Do not include passwords, payment details, sensitive personal information, or another person’s private information.

Course research uses public facility information, such as the course name, address, region, website, and published rates. It may use OpenAI web search and retrieve public course or booking pages. This course-research request is separate from your chat and does not include your account identity or device location.

We request that OpenAI not store Loop responses as retrievable response history. This does not mean that all provider retention is disabled. OpenAI describes a default policy of not training its models on API data unless the customer opts in, and may retain prompts, responses, and related information for abuse monitoring, generally for up to 30 days, with exceptions described in its data controls. Provider retention is separate from clearing a chat or Loop memory. See https://developers.openai.com/api/docs/guides/your-data for details.

Loop Location, Discovery, and Availability

Loop uses your selected play area, saved home area, or device location when permission is granted to find nearby golf opportunities. Mapbox may receive coordinates to identify the relevant city or region. Loop’s nearby-discovery record stores a rounded location and observation time, rather than a trail of past device locations. A recent-location record stops being used for nearby matching after 24 hours unless refreshed; a saved home area may also be used for discovery.

Other golfers may see your discoverable profile, approximate area or proximity, relevant golf preferences, and availability or matching explanations allowed by your settings. Loop’s nearby results do not expose the device coordinates stored in its private discovery record. Public rounds and invitations are shared according to the audience you choose.

Nearby discovery and Loop match-alert settings default to on where no previous choice has been saved. Device permissions still control access to device location and push notifications. You can change nearby discovery, availability visibility, and match-alert settings in Loop. Disabling device location alone does not remove your saved home area, availability, or public posts.

Loop Personalization and Memory

Loop can remember preferences you confirm and learn recurring golf preferences from searches, accepted invitations, and completed rounds. These signals help select and rank suggestions. A suggested match is an estimate, not a determination that another golfer is available, compatible, or safe.

Personalization defaults to on where no previous choice has been saved. You can review what Loop remembers, forget saved preferences, or turn personalization off through Loop’s Privacy controls or the Loop personalization setting in your profile settings. Turning personalization off clears Loop memory and stops that learning. It does not delete your underlying rounds, scores, invitations, availability, or operational usage records.

The current Loop chat is held in the app’s running session and is not saved as a permanent chat archive or as Loop memory. Resetting the chat removes that conversation from the session. It does not erase preferences, backend request caches, usage records, or information already processed by service providers.

How We Use Your Information

We use your information to:

Provide and operate the Rounds app

Create and manage user accounts

Enable tee time creation, joining, and communication

Display profiles, scorecards, rounds, stats, leaderboards, and achievements

Provide GPS, course, and wearable features

Manage subscriptions, purchases, and paid feature access

Sync user activity across devices

Improve performance, safety, and user experience

Detect abuse, prevent fraud, and support fair play

Communicate important app updates, support messages, or account-related notices

Sharing of Information

We do not sell your personal data.

We may share information:

With other users, such as your public profile, username, display name, profile photo, scores, rounds, tee times, messages, ratings, and activity visible inside the app

With service providers that help us operate the app, such as Firebase, hosting providers, analytics providers, crash reporting tools, authentication providers, cloud infrastructure, payment entitlement services, and customer support tools

With platform providers such as Apple or Google when required for app functionality, purchases, subscriptions, authentication, or compliance

If required by law, legal process, or to protect the rights, safety, and security of Rounds, Nexera Labs Inc., users, or others

External Websites and International Processing

Opening a course website or booking link takes you to a third-party service. That service may receive information such as your IP address and browser details, and information you submit there is handled under its own privacy policy. Rounds records limited handoff and outcome events to understand whether Loop helps people arrange and complete rounds.

Our cloud, mapping, and AI providers may process information outside your province or country, including in the United States, where privacy laws and lawful government access may differ. Contact support@roundsgolf.ca for questions about service-provider processing.

Payments and Subscriptions

Payments and subscriptions are processed by Apple App Store, Google Play, or other supported platform providers. Rounds does not directly process or store your full payment card information.

Subscription management, cancellation, renewal, and refund requests are generally handled through the platform account used to make the purchase.

Deleting your Rounds account or uninstalling the app does not automatically cancel an active subscription. You must cancel your subscription through the applicable Apple App Store or Google Play account settings.

Data Security

We use reasonable technical and organizational measures to protect your information. However, no system is completely secure, and we cannot guarantee absolute security.

Data Retention

We retain your information as long as your account is active or as needed to provide the app, comply with legal obligations, resolve disputes, prevent abuse, enforce our terms, and maintain business records.

You may request deletion of your account at any time. Some information may be retained where required by law, for legitimate business purposes, platform compliance, dispute resolution, fraud prevention, or backup retention.

Loop Retention and Deletion

Loop uses different retention periods for different purposes. Its routine retention settings include:

• Explicitly remembered preferences and matching or availability settings: kept until changed, cleared, expired where applicable, or removed through account or data deletion.
• Search-learning observations: a rolling 30-day window. Invitation and round-learning observations: a rolling 90-day window.
• AI interpretation caches: normally expire after one day. Daily AI usage counters: normally expire after seven days. These records are separate from the session chat.
• Search-allowance and related request records: retained for the allowance period and a further 31 days. Other operational and booking records may have different expiry periods.
• Individual search, selection, and booking-handoff analytics: normally expire after 90 days. Links between booking handoffs and posted or completed rounds may remain for up to 365 days to measure outcomes.

Expiry removes information from active use where applicable; scheduled cleanup may take additional time to remove stored records. These periods do not replace the separate retention rules for your underlying Rounds posts, messages, scores, and account records. Aggregate statistics that no longer identify you may remain. Legal, security, dispute, and backup exceptions are described above, and AI-provider retention is described in the Loop and AI Service Providers section.

You can request deletion of Loop preferences, availability, or other associated personal data without deleting your Rounds account at https://roundsgolf.ca/data-deletion. To delete your account and associated data, visit https://roundsgolf.ca/delete-account. Include the email associated with your account and describe your request; do not send your password.

Children’s Privacy

Rounds is not intended for children under 13, and we do not knowingly collect personal information from children under 13.

Third-Party Services

Rounds may rely on third-party services to operate the app, including cloud hosting, authentication, analytics, crash reporting, maps, purchase validation, and customer support tools.

These services may process limited information as necessary to provide their functionality.

Changes to This Policy

We may update this Privacy Policy from time to time. Updates will be posted within the app, on our website, or through other reasonable notice.

Where required by applicable law, we will provide additional notice and obtain consent before making a material change to how we use or share your personal information.
